Scheme joiners & leavers
Clients should notify us of all amendments to membership no later than the 20th of each month so that we can action all requests within the
same month, allowing accurate invoices to be created on the 1st of each month.
Notification, in the form of a welcome pack or cancellation notice, will then be sent to the policyholder.
New client business
Once we have received a completed group application form and, where relevant, a membership listing, we will register the group within 10 working
days. We will send a group welcome pack and make a confirmation courtesy call to the appointed scheme administrator within 5 working days of
the scheme registration date.
Should we identify that any required information is missing from the group application, we will liaise with the client to gather the additional
information necessary. In the unlikely event that this will cause any delays in setting up the group, we will advise you and your client accordingly.
All clients are issued with renewal terms, detailing any changes to price and benefits, at least 60 days prior to the scheme renewal date.
Company Paid & Salary Deduct Schemes
Clients with a company paid or salary deduct scheme who accept the terms offered to them do not need to do anything to accept the renewal
as it will happen automatically . Members will be issued with renewal packs no later than 10 working days after the scheme renewal date.
We recommend that clients take the opportunity to review their membership listing and advise us of any changes necessary. Clients should notify
us of all amendments to membership no later than the 20th of the month prior to renewal so that we can action all requests and ensure that
the membership list, at the point of renewal, is correct.
Flexible Benefits Schemes
For all flexible benefits schemes, cover lapses for members on the day prior to the scheme renewal date. Clients must therefore provide us
with details of membership for the next scheme year as soon as possible after their election period ends, so that we can set up policies for
those members and issue renewal packs no later than 10 working days after receipt of the client's membership listing.
Voluntary Schemes
For all voluntary schemes, we communicate directly with the scheme members with regard to their policy renewal and will issue renewal terms
to the policyholder no later than 28 days prior to the policyholder's individual renewal date.

Claim Process
There's no need to request a claim form to be sent to you in the post, you can simply download a claim
form now. To ensure your clients' employees claim proceeds smoothly, please follow these simple steps:

Employees receive a course of dental treatment and pay the dentist for all treatment received |

Employees must obtain proof of treatment from their dentist, showing a breakdown of treatment costs |

Employees must complete a claim form to show each course of treatment after their dental
appointment
(We will accept a claim form with a variety of treatment dates as long as it is one claim form per policy holder. Dentist are not required
to complete any part of the form.) |

Employees must attach their proof of treatment to the completed claim form and should return both
to Denplan within 60 days of receiving their course of treatment
